Using the Lead Board (Kanban) & Managing Stages

Summary

  • This guide covers the Leads page as a pipeline workspace. You can switch between the familiar List view and a new Board view, drag leads between stages to advance them, and rename your pipeline stages to match how your team works. It covers switching views, working leads on the board, and editing stage names.

  • Permissions required:

    • Access to the Leads page.

    • Access to Portfolio Settings — required to rename stages.

Switching between List and Board

  1. Open the Leads page.

  2. Use the List / Board toggle to switch views. Your choice is remembered, so the page reopens in the view you used last.

Working leads on the Board

  • The board shows one column per stage. Out of the box the stages are New, No Response, Appointment Scheduled, Appointment No Show, Follow-Up Needed, and Pending Signature.

  • Each lead card shows the lead's name, facility, plan, contact info, age, and appointment date.

  • Drag a card from one column to another to move the lead into that stage. The change applies immediately.

  • You can set or update a lead's Appointment Date directly on the lead card.

Renaming your pipeline stages

Stage names are configurable per portfolio. The six stages stay in their fixed order (1–6) — you can rename them, but not reorder them.

  1. Go to Settings → Portfolio Configuration.

  2. Find the lead stage settings.

  3. Edit each stage name (up to 20 characters) and save. Renamed stages appear everywhere the stage is referenced — on the board and in any related lead automations.

Exporting the list

From the List view of the Leads page, use the kebab (⋮) menu to download the current list as a PDF or CSV. (The export is available in List view; the Board view doesn't have the kebab menu.)

When to use List vs Board

Both views show the same leads — the difference is what each one makes easy.

List view is the better fit when you're working across many leads at once:

  • Scan a lot of leads in a compact, sortable table, and sort or filter by the columns you care about (age, facility, plan, and so on).

  • Triage in bulk — find a specific lead, or work down a sorted list top to bottom.

  • Export the current list to PDF or CSV for reporting or sharing (available in List view only).

Board view is the better fit when you're working the pipeline itself:

  • See your whole funnel at a glance — every lead sits in its stage column, so you can tell instantly where leads are concentrated.

  • Spot bottlenecks — a tall "No Response" or "Appointment Scheduled" column shows you where leads are stalling and where to focus follow-up.

  • Advance a lead by dragging its card to the next stage — quicker than opening each lead, and the change applies immediately.

  • Keep upcoming appointments in view — each card shows its appointment date, so you can prioritize the day's follow-ups.

A common rhythm: work the Board day to day to keep the pipeline moving, and switch to the List when you need to sort, search, or export.
