Summary

With this latest release, operators can now move tenants out with a remaining account balance and transfer prepayment credits between unit rentals at the same facility. Multi-brand portfolios also get the full Third Party Management feature set this sprint. Additional updates include ECRI exclusion controls at the rental level, credit limits for internal users, marketing source analytics, and a new Document Added automation trigger. A new ECRI Churn Analysis report rounds out the release, helping managers evaluate how rent increases are impacting retention across facilities.

Highlights

  • Balance Transfers: Prepayment and overage balances can now be transferred between a tenant’s unit rentals at the same facility, including past rentals.

  • ECRI Exclusion Control: Individual rentals can now be excluded from automated rent increase schedules directly at the rental level.

  • Credit Limits: Internal users can now have credit limits configured at the facility level with role-based access controls.

  • ECRI Churn Analysis Report: A new report helps managers evaluate the retention impact of rent increases across facilities.

  • Multi-Brand Portfolio Management: The full slate of Third Party Management (3PM) functionality is now available for multi-brand portfolios.


New Features and Enhancements

  • Automations

    • Document Added Trigger (New): A new automation trigger fires whenever a document is added to a tenant record.

      • Configurable by Document Type — all document types available in the system can be selected as a condition.

  • Delinquencies

    • Auctions Table Filtering: The Auctions table now automatically filters out auctions with a status of Canceled or Completed by default, making it easier to focus on active and upcoming auctions.

  • Existing Customer Rent Increase

    • ECRI Exclusion Control: Individual rentals can now be excluded from automated rent increase schedules directly from the rental record, giving operators more precise control over who receives rate increases.

    • ECRI Table Downloads: Both the Eligible and Scheduled ECRI tables can now be downloaded directly from the table view.

  • Leads

    • Marketing Source Insights: Facility administrators can now view analytics segmented by marketing source, providing deeper visibility into which channels are driving leads.

    • Additional Dismissal Reasons: The Lead Dismiss dropdown now includes additional pre-defined dismissal reasons to better capture why a lead did not convert.

    • "Dismiss Lead" Rename: The "Cancel Lease" option in the lead action menu has been renamed to "Dismiss Lead" after a lease has been sent, to more accurately reflect the action being taken.

  • Multi-Brand Portfolio Management

    • Third Party Management (Full Release): The full suite of Third Party Management features is now available for multi-brand portfolios, including branding updates across Leads, ECRI, Reporting, Communications, Rental Form Builder, and My Storefront.

  • Payments

    • Move Out with Balance: Tenants can now complete a move-out process even if there is a remaining balance on their account, whether that is an outstanding amount due or an existing prepayment credit. Operators no longer need to fully resolve the balance before processing a move-out.

    • Balance Transfers: Prepayment and overage balances can now be transferred between a tenant’s unit rentals at the same facility, including transfers involving past rentals.

    • Credit Limits: Internal users can now be assigned credit limits at the facility level.

      • Permissions controls allow administrators to enable or disable credit limits and configure role-based access.

      • A warning modal will display when a credit limit is exceeded.

    • Payment Failure Notifications: Payment failure email notifications now also include reversals and chargebacks, providing a more complete picture of failed payment activity.

  • Rental Form Builder

    • Multiple Rental Forms per Facility: Operators can now configure multiple rental forms at the facility level.

      • A System Default Form is always maintained as a fallback and cannot be deleted.

      • New Add Rental Form button to create additional rental forms and assign them to specific facilities.

      • New Delete Rental Form button to remove any non-default form.

      • The system always maintains a one-to-one relationship between a form and a facility. When a form is reassigned, unassigned, or deleted, affected facilities are automatically moved to the System Default Form.

    • New Alternate Contact Address Fields: Address 1 and Address 2 fields have been added to the Alternate Contact section.

      • Available in existing Rental Form Builder configuration.

      • Added to the Tenant Details page as optional fields.

      • Available as stored variables in lease documents.

  • Reports

    • ECRI Churn Analysis (New): A new Facility Aggregate report that helps managers evaluate the retention impact of rent increases across facilities within a selected date range.

      • Aggregates churn outcomes at the facility level, making it easy to compare where ECRI-driven move-outs are highest.

      • Anchored on ECRI effective dates and measures move-outs that occur after those increases, providing a true cohort-based view of churn.

      • Helps identify outlier facilities that may need pricing or operational adjustments.

  • Tenants and Units

    • Lease Link Sharing: Users can now share a lease link directly via QR code or open the lease link from within the Send Lease modal, making it easier to get leases signed quickly.

    • Overdue Indicator for Past Rentals: The overdue icon that appears next to units for multi-unit tenants now also displays on past and inactive rentals. This allows operators to see at a glance which past rentals still carry an overdue balance.

    • Auto-Cancel Move-Out Notes: When the system automatically cancels a scheduled move-out, a note is now added to both the Tenant page and the Unit page, ensuring the activity is visible from both views.


Bug Fixes

  • Automations

    • Fixed an issue where multiple "Payment Failed" automation messages were sent to a single tenant.

  • Communications

    • Fixed an issue where sending a message to a lead defaulted to SMS and prevented email delivery.

    • Fixed an issue where the Google Review Link stored variable was empty when sending messages to a lead.

  • Display

    • Fixed an issue where archive buttons were not visible in Safari on the Coverage page.

    • Fixed a missing default error state on the Role Permissions page.

  • Facility Management

    • Fixed lease display issues in the Facility Management.

  • Promotions

    • Fixed issue where promotion names could exceed maximum character limits.

  • Rental Flow

    • Fixed an issue where promotions were not displayed on the Unit Details screen in the Online Rental Flow.

  • Search

    • Fixed an issue where Universal Search did not filter results correctly when a name partially matched another name in the list.

  • Tenants

    • Fixed an issue where notes containing unit numbers could not be saved because the system incorrectly flagged them as credit card numbers.

  • Units

    • Fixed an issue where canceling a transfer incorrectly displayed a permissions error.

    • Fixed a display issue where the fee amount placeholder overlapped the dollar sign.

    • Fixed an issue where unit groups with a size value less than 1 did not appear in the Unit Group table.


Technical Improvements

  • Date Picker Usability: A new “x” button has been added to date picker fields across the platform, allowing users to quickly clear the current date selection. This update applies to the Reservations page, Waitlist page, Leads page (Edit), Schedule Move Out drawer in the FMS, and the Schedule Move Out drawer in the Tenant Portal.
