Managing Documents on the Tenant Record

A guide to archiving and deleting documents directly from the Documents tab on a tenant's record.

Summary

The Documents tab on a tenant's record lets you view, archive, and delete documents associated with that tenant — including signed leases, addendums, move-out photos, auction photos, and any manually uploaded files. This guide covers how to manage documents directly from the tenant card.

Permissions required:

Tenants — View and Edit

Lease Management — View, Edit, Create, and Delete


Accessing the Documents Tab

Use the search bar to locate the tenant.

Open the tenant's record and select the Documents tab.

This displays all documents associated with the tenant. Each entry shows the document name, category, the date it was generated, and the user who generated it.


Archiving a Document

Archiving removes a document from the active document list while keeping a historical record on file. Use this when a document is outdated or superseded but should not be permanently removed.

Locate the document you want to archive and click the Archive icon next to it.

The document will no longer appear in the active Documents list. Archived documents remain on file for historical reference.


Deleting a Document

Deleting permanently removes a document from the tenant's record.

Locate the document you want to delete and click the Delete icon next to it.

A confirmation prompt will appear before the deletion is finalized.

Note: Deleting a document is permanent and cannot be undone. If you want to retain a record of the document, use Archive instead.
